Port o Gdańsk – a case study of Yard management and scheduling system

Port of Gdansk case study shows that custom solutions always work best. The port needed to improve its security and automate the control of vehicle flow. We developed an innovative system for managing, booking and navigating the flow of trucks at the facility.

How to resolve the problem of high traffic at the port gate?

The Port of Gdansk is a bustling facility, and its heavy traffic in high season was only complicating an already complex operation. Dozens of trucks arriving at the same time were blocking the gate to the Port as well as access roads, thus negatively affecting its safety and security.

The limited and unautomated control over vehicle flow, lack of data on vehicle status, and disrupted access control were difficult for employees and visitors as well. The result was a very time-consuming process with little room to improve it.

The Port authority wanted to build buffer parking lots and implement a truck arrival management system to process arriving vehicles effortlessly.

We had only three months to deliver and test a working solution.

The challenge: To automate the processing of the vehicles and increase security

We developed a scheduling and traffic management system that eases the flow of traffic to and from the port. It also provides real-time insights about trucks going to and from the port.

The system allows freight forwarders, logistics companies or the port personnel themselves to create bookings for trucks that need to unload or load cargo at the port. Incorporating the schedule of which trucks arrive when with an automated access control based on license plate recognition brought down the entry time for trucks to the port from 4 minutes to 4 seconds.

Trucks do not just wait in line thanks to automated communication with truck drivers via SMS and special buffer parking services in case of reaching the maximum capacity at the port or when a truck arrives too early. Truck drivers always know where to go and when.

Here is how the new solution looks like in action:

A new entry in the system

The logistics company or port personnel create a new entry in the system. They add the necessary information (i.e., truck license plate number, driver name, driver phone number, goods on the truck and time slot for the booking). Additionally, there is an option to book a buffer parking space.

An SMS with visit details

A truck driver receives an SMS with the visit details such as time, place and vehicle data. The system automatically updates the driver in case of any changes to the reservation.

Truck arrival

The truck arrives at the port entrance or buffer parking at the given time and date.

License plate recognition

With the use of cameras and licence plate recognition, the system confirms if the vehicle has arrived at a valid service window and verifies whether the plate number is correct. If necessary, there can be set up more than one control point with various access point barriers.

Navigation at the facility

The truck driver receives an SMS with information on when he can go to specific gates or unloading/loading stops. If there is a traffic jam, they are told to go to a waiting area and wait for their turn.

Confirmation for the truck to leave the harbour

After weighing and serving the vehicle, the port operator changes the vehicle status and confirms that it can leave the facility.

Exit validation and weighing

The vehicle is once again validated and weighed at the exit. The system has built-in algorithms to improve security and prevent users from violating set up rules.

Our approach

Thanks to our experience in developing vehicle tracking and management software, we completed the basic usable version of the system within the three-month timeframe.

We started the work by figuring out the key challenges the Port had to tackle. The most important ones were harbour security and safety, control over the vehicle flow and quality inspections. In case of sudden weather change the Port had to be ready to evacuate the entire premises and with dozens of trucks blocking the gate and surrounding areas that task was nearly impossible.
